Accessing Your Email via Your Web Mail Interface

All users set-up with a Hyperlinked user account have access to their email via the Squirrel Mail Web mail program. Web mail can be used to access your POP or IMAP email accounts when you don't have access to your usual Email programs or you can use Web mail as your primary way of accessing your mail.

To access your email via Web Mail please login using the following settings:

Standard Login: http://yourdomain.com/webmail/

Secure Login: https://scrabble.hyperlinked.com/yourdomain.com/webmail/

username: username@yourdomain.com

password: yourpassword

Replace yourdomain.com with the domain name of your website, youraccount with the name of your user account, and yourpassword with the password for that account. 

Your Web Mail is set-up equipped with only the default settings turned on. If you wish to have advanced features enabled, please contact the help desk. Advanced features that are available include:

 


Accessing your Hosting Control Panel (Site Admin Control Panel)

If you're a site administrator, you have access to a Web-based control panel to manage your virtual host.Hyperlinked uses the Ensim Pro control panel that makes it easy for you administrate your website and users. This control panel will allow you to perform the functions listed below:

To access your control panel, you'll need an administrative user account and password to the server.You should have received this information in your welcome Email at the time that your server was set-up.

Login at: http://yourdomain.com/admin (you will be redirected to a secure login page)

Once you've logged in, you can use the help links in your site administrator's control panel to get more detailed help information on how to perform specific tasks.

NOTE: In this case, your username is not your full email address because your domain name is requested on a separate line.


Connecting to Your Site with an FTP Client

FTP stands for File Transfer Protocol and an FTP program is simply a program that allows you to easily transfer files from your desktop to your virtual server easily.Many programs used by less technical website administrators have FTP built into them (FrontPage or Dream Weaver), but a stand-alone FTP program is a highly recommended accessory for anyone who has a need to get files to or from a website easily.

All Hyperlinked hosting accounts come with a default FTP account set-up for the admin account.Additional users can be added by the administrator from the hosting control panel by adding from the Mailbox/Users area of the control panel.

FTP Settings:

Server: ftp.yourdomain.com
Username: username@yourdomain.com
Password: Your provided password
Path to Webroot: /var/www/html/
Port: 21 (Optional)

If you have a firewall enabled on your computer, you may need to use Secure FTP (SFTP) instead of normal FTP to connect to your site. Most current FTP programs have a secure mode for handling SFTP connections. Connecting through SFTP involves activating this secure mode somewhere in the program. You may also need to change the Port number that your FTP Client uses to 22.


Domain Name Server Settings (Nameservers)

If you're setting up a web host with us or transferring a website over to us, you'll need to update your nameserver information with your domain name registration company.

Primary Host Name: ns1.hostdns4u.com
Primary IP Address: 209.216.201.2
Secondary Host Name: ns2.hostdns4u.com
Secondary IP Address: 209.126.236.2

Usually you'll only need to primary and secondary host names to update the DNS entry for your domain name.Each registration company has a different process for registering or updating domain name set-up information.You should check with your domain name registration company if you're having difficulty updating your nameserver information.


E-mail Settings for IMAP and POP E-mail Accounts

By default, all Hyperlinked accounts come with an e-mail account configured for the administrator's account. Additional e-mail accounts can be added from the Hosting Control Panel. Hyperlinked hosts support IMAP and POP protocols for accessing e-mail.

Your Email client should use the following settings to send and retrieve your Email from the server. If you're not sure if you have a POP or IMAP email program, don't worry. The settings are the same.

Set your e-mail client to the following:

E-mail Address: Any Email Address

Reply-to Email: Any Email Address (optional)

Incoming Mail Server: mail.yourdomain.com

Outgoing Mail Server: mail.yourdomain.com

Username: username@yourdomain.com

Password: password

Incoming Mail Server may be referred to as "POP Email Server" by your mail program. Outgoing Mail Server may be referred to as "SMTP Server" by your email program.

Email counts as against your space quota! If you configure your e-mail program to leave copies of your mail on the server, be sure to keep an eye on your space usage.

If you're going to be downloading your email from the server through an email client and you also access your mail through a Web Mail service, you'll want to make sure that the "leave email on server" box (or something like that) is left checked when configuring your email program's settings. If your email client is configured to delete mail when it downloads, the next time you use your Web Mail you'll only have access to new email that hasn't been downloaded yet.

Note: Many Internet Service Providers block port 25 which is the industry standard for sending out email. If your ISP blocks port 25, you will not be able to use your Web server as an outgoing mail server. Instead, you'll need to use the outgoing mail settings for your ISP's mail servers, but you can still use your email address (username@yourdomain.com) as your From: and Reply-To: email address.


Mail User Control Panel

Users who have a mailbox set-up on your site can access a special control panel that allows them to control settings for their mail account like spam filter settings and auto response messages. The user control panel also allows users to perform data backups for email and files stored in their personal directories. Note: You can only backup user data through the user control panels. Site backups must be performed by logging into the hosting control panel.

Users can use their user control panel to do the following:

Managing Mailboxes/User Accounts

All Hyperlinked servers come with only the administrator account set-up by default.If you wish to have other E-mail or FTP accounts on your server, you'll need to "Add User" from the Hosting Control Panel.Once you're created the new user account, email and FTP access will instantly be available for it.

You also have the option of creating just a mail alias instead of a real email account. A mail alias is forwarding address that allows you to redirect all mail for any given address to an already existing account.


Spam Filtering for Email Accounts

All email accounts set up on your virtual host are equipped with powerful spam filters that you can customize to perform as you desire. You have the ability to choose how aggressively you want the filters to be when judging incoming email as spam or not spam and you may choose to have emails deleted or delivered with special conditions when marked as spam. By giving you the ability to control the behavior of your spam filters, Hyperlinked Web Services gives you full control over your incoming email traffic. If you want to be absolutely sure that nothing gets accidentally deleted as spam, you can change your filter settings to be less aggressive or just have all spam delivered as flagged messages.

Changing your spam filtering settings

  1. Login to your user control panel
    Note: this is not the same as the hosting control panel. You may access your user control panel at: http://yourdomain/user/ (you will be redirected to a secure login page)
  2. Select "Spam Filtering"
    After you've successfully logged into your user account, click on "Spam Filtering" to access your spam filter settings.
  3. Set your spam scoring threshold
    The default settings for your spam filters should already be set. Spam filtering is done on a point scoring system in which the contents of each email is analyzed and judged as spam or not spam. The default spam scoring threshold is set to 5.0. This means that any email that scores higher than 5.0 will be treated as spam.

    You have the option of choosing from the three standard scoring threshholds, but you should probably keep your spam threshold at "Low-5" unless you encounter problems with getting legitimate email marked as spam. You may also set your own threshold score for a custom spam setting that is more or less aggressive than the standard low, medium, high settings. Be aware that the lower you set your spam scoring, the more likely you will get legitmate email treated as spam. It's common for legitimate email to trigger a few of the same violations that is common in spam. Most legitimate email should score below a score of 3.0, but some emails such as online newsletters or special offers from online retailers could potentially score higher.


    The Default Spam Filter Settings

  4. Select an action to perform on email judged to be spam
    By default, email judged to be spam is marked as spam and delivered to your inbox as an attachment. The marked emails are designated with the characters "[Spam]" prepended to the text of the subject line.

    It's recommended that you have all of your spam email delivered to your inbox until you're confident that no legitimate emails are getting marked as spam. Once you feel comfortable with the performance of your spam filter, you can change this setting to "Delete spam email".

Other Spam Settings

  • Allowed Senders List
    You can access the "Allowed Senders List" setting by first clicking on the "Spam Filtering" link from your User Control Panel main page and then clicking on the "Allowed Senders List" link.This setting allows you to designate specific email from-addresses that should NEVER be marked as spam. Each email address should be separated by a comma.
  • Blocked Senders List
    This setting can be accessed similarly to the "Allowed Senders List". This setting allows you to designate specific email from-addresses that should ALWAYS be marked as spam. Each email address should be separated by a comma. This is usually not a very effective way of handling true spam since spammers rarely use legitimate email addresses and constantly change their from-email address. Any unwanted mailings that would be caught by the "Blocked Senders List" will most likely properly honor unsubscribe requests and you should first try getting off their lists properly before choosing to block them.


Tips to Avoid Getting a Lot of Spam

Contrary to popular belief, most of your spam doesn’t come from websites or organizations that have sold your email address to other parties. Spammed email addresses are usually “harvested” by data collecting programs set-up by spammers to find email addresses posted on websites. The best advice to avoid spam is to never post your email address in a public place. If you have to post your email address publicly, you may want to create an alias for your actual email address and use the alias address temporarily. When you no longer need it, you can delete it and all spam sent to the alias address will bounce.

Unfortunately, there are many ways you can end up getting spam even when you’ve done everything right. It’s virtually impossible to keep your mailbox spam free.All of our servers have two levels of spam protection enabled to block or flag junk email. We employ a “black hole list” and user controlled spam filters to help you minimize the amount of junk email that you get.The “black hole list” is a transparent service that compares all incoming email against a real-time list of known high volume sources of junk email on the Internet. If the email was sent by a “black listed” source, the email is blocked and all email from that source will continue to be blocked until it stops sending spam.Spam filters scan and analyze email contents to see if it’s spam and all users have access to adjust the sensitivity level of their spam filters.


Transferring Your Website From Another Service

Hyperlinked Web Services offers free transfers of websites hosted on other hosting services to one of our servers. If you need your website transferred for you, just request a site transfer when filling out our hosting request form. If you prefer to do the transfer yourself, here are some tips to ensure a smooth transfer.

  1. Backup all of your files including mail, MySQL databases, and cgi-bin scripts
  2. Download all of your email from your old hosting server
  3. Set all of your email accounts on your old server to forward your email to an alternate email account unrelated to your old or new hosting servers. You will use this alternate email service until your domain's name server information has been updated across the Internet.
  4. Login to your Hyperlinked Hosting Control Panel using the administrative username and password provided and set-up new user accounts and e-mail aliases to mirror those on your old server.
  5. Use your temporary FTP access settings to FTP to your Hyperlinked server and upload your Website files.
  6. Update your Nameserver settings for your domain with your domain name registration company.
  7. Allow up to 48 hours for your domain name changes to take effect and direct visitors to your website's new location.
  8. Update your mail server settings for your E-mail client.
  9. After the name server edits have been propagated throughout the Internet, you should be able to access your POP or IMAP email accounts set up on your new Hyperlinked host. If you're not sure if the nameserver change has completed or not, contact the help desk.

It's possible that some Internet Service Providers not will have the updated nameserver information as quickly as others which can result in web traffic continuing to get directed to your old site for the first 24 to 48 hours even if you're able to access your new site without problems. Typically, this discrepancy is relatively minor and all major Internet Service Providers will synch up within a few hours of each other.To minimize the problems that this can cause for visitors, email, and users, it's recommended that you pick weekends or other low traffic times when moving your site.


Using Gmail with your Hosting Email Account(s)

If you wish to connect an email account that you have in your hosting environment to Gmail, please follow the steps below to get your accounts configured properly.

For Gmail

  1. Login to Gmail
  2. In the upper right corner, click on "Settings".
  3. Click on the Accounts tab.
  4. For the following setting: When I receive a message sent to one of my addresses, choose "Reply from the same address the message was sent to."
  5. Click on Add Another Email Address. This will open a pop-up window.
  6. In the pop-up window enter your name and the email address that you're setting up and click the Continue button.
  7. On the next screen, click on the "Send Verification" button. 
  8. An email will be sent to the email account that you want to link up with Gmail. You will need to access this account through the webmail program that's setup on your hosting environment to verify to Gmail that you are indeed the owner of this account and not someone trying to spoof another user's email.
  9. Login to your server based webmail.
  10. Find your verification email and click on the verification link. 
  11. The verification link will take you back to GMail you will now be verified to send using this email identity, but you still are not setup to receive email for this address at Gmail.
  12. In the "Get Mail from Other Accounts" block of the Accounts tab, click on "Add Another Mail Account"
  13. A pop-up window will open for settings to enter for your mail server. Please see the diagram below as a guide for what to enter. Replace "myemail" with your email name and "mywebsite.com" with your website address.
  14. Click "Add Account"
  15. Congratulations, in 14 easy steps, you've now set-up your email account to work with Gmail for sending and receiving!

Using Yahoo Mail with your Hosting Email Account(s)

If you wish to connect an email account that you have in your hosting environment to Yahoo Mail or Gmail, please follow the steps below to get your accounts configured properly.

For AT&T / Yahoo Mail

Note, these setup instructions only work in Yahoo Mail Classic. If you're using the new Yahoo Mail, these instructions may not be completely correct.

 

  1. Login to Yahoo Mail
  2. In the upper right corner, find a link that says either "Options" or "Mail Options" and click on it
  3. Click on Mail Addresses.
  4. You should see a box with all email accounts that you have connected to your Yahoo Mail on the next screen. The first line will always be "Yahoo Mail." Click on the "Add" button above this box.
  5. The next screen should say "Step 1." Enter a nickname for this account. The name doesn't matter. It's only to help you remember which account you're setting up.
  6. The next screen should say "Step 2." Enter your name and the email address that you are connecting to Yahoo Mail.
  7. The next screen should say "Step 3." Fill out the form by following the diagram below. Substitute the name of your own website for "mywebsite.com" and enter your password in the password field and click the "setup Mail Server" button. (Note: If you have difficulty retrieving mail, you may need to uncheck "Use SSL")

  8. The next screen should say "Verify Account." Click on the "Send Verification" button. 
  9. An email will be sent to the email account that you want to link up with Yahoo Mail. You will need to access this account through the webmail program that's setup on your hosting environment to verify to Yahoo Mail that you are indeed the owner of this account and not someone trying to spoof another user's email. Until you verify this account, you will not be able to send email using this identity, but you can receive email (assuming you entered everything correctly in #7 above).
  10. Login to your server based webmail.
  11. Find your verification email and click on the verification link. 
  12. The verification link will take you back to Yahoo Mail to a verification page with your verification code filled in. Click on the Verify Account button to complete the verification and setup process.
  13. You may be asked to provide your password to continue. If you are asked, you must enter your password to complete the last step.
  14. Congratulations, in 14 easy steps, you've now set-up your email account to work with Yahoo Mail for sending and receiving!

Weekly Site Backups

Please remember to back-up all of your data that you have on your virtual host.  We are not liable for any potential damages due to data loss.

Complete site backups are performed twice a week on Tuesday and Saturay mornings at approximately 3am PST.  All server data is backed up including mail, scripts, MySQL databases, and website files.  You can request a full restore of your server by contacting our support desk.  Note: We're not able to perform partial restores if you're only looking to restore a few files.

If you need to have a site restored for you, please contact the help desk with details about how far back you want the backup file to be pulled from.  Site restoration services is subject to a $40 fee.

All Hyperlinked hosting plans also include access to a Website backup tool that is part of your Hosting Control Panel to allow you to perform your own back-ups and and restores.  Backups performed with this tool do not cover MySQL databases, so please remember to run regular exports of important database data separately.
